Yes, have some of type of communication (e-mail, call, team meetings, etc.) with the areas that directly work with budget to get their input to have the most accurate budget load possible. A number of areas have ongoing conversations about their budget – right now we are working through the formalized planning process. Share a copy of the Smartview form with the areas so that they will be using the actual format for ease of input. The area should review their budget as a whole from a strategic standpoint. Based on historical trend, SbD and information known by the area - work through fixed cost adjustments (if applicable), revenue adjustments, and budget reallocations to have the budget loaded where the expenditure will occur; to generate the proposed budget. Reference the Smartview Procedures for additional details.
Yes, the proposed revenues, fixed costs (where applicable), and operating movements to align with where expenditures will occur can largely be completed as one process, on the Smartview form included in the 1/13 e-mail, and are due by 1/26. Updates to your fee schedule are also due on 1/26. I broke the FY21 fee schedule spreadsheet out by division for ease of review and e-mailed them out as a starting point. This spreadsheet helps to ensure that each fee is reviewed strategically before stating that it should either remain flat, be deleted, or be increased. If a new fee, revision or elimination is needed please fill out the Fee and Service Charge Request Form using the Fee Service Charge Instructions.
