Spring Move-Out Information

Building and community-specific information will be discussed at your Closing Floor Meeting with your Resident Assistant (RA). Below is valuable information you need to know to move out successfully from your residence hall space.  

 

Spring Residence Hall Closing Timeline

  • April 6 - May 1: RA Closing Floor Meetings
  • April 17: Extension requests due by 12:00 pm
  • May 2-9: Spring Housing Move-Out
  • May 9: Buildings close Saturday, 12:00 pm

 

Closing Floor Meetings with your RA

Residents are required to attend their Closing Floor meeting. RAs will have posted information in your residence hall community about the location and time of your Closing Floor Meeting. Failure to attend may be considered an improper check-out and additional fees may be assessed.  

 

Extension Requests 

Residents can request to stay after May 9th by emailing their Residential Hall Director (RHD) by April 17 at 5:00pm. Extension requests received after this day will not be considered without additional approval from the Associate Director and/or Director of University Housing.  

Residents will only be permitted to stay for one of the following reasons.  

  • Student is graduating and their ceremony is after the above move-out time and date. Students will be verified as a graduating senior via the Registrar’s office.
  • Student has a scheduled final exam which is later than the above move-out time and date with proof from the University Faculty member and Registrar office.
  • Students who are out-of-state or International and provide flight itinerary with a flight booked after the above move-out time and date. 

No extensions will be approved past Monday, May 11 at 8:00 am. If a resident is looking to stay beyond May 11, they will be considered a summer resident and will pay the summer housing fees and move to a summer housing assignment.  

Extension requests are not guaranteed in all cases. Make sure to consult with your RHD if you have questions regarding your extension request.  

 

Resident To Do List for Move-out

  • Clean your space. Make sure to clean your space thoroughly, additional cleaning will result in cleaning fees.
  • Update your address. Change your mailing address on myNKU and on any other websites you have used the NKU housing mailing address. Mail and packages will not be forwarded. Mail is held for two weeks and then returned to sender.
  • Take out trash to the dumpster. Any trash left in hallways or rooms will result in trash removal fees.
  • Close and lock windows.
  • Defrost your fridge. 
    • Defrost, clean and remove all items. 
    • Be sure to place the fridge in the shower or place towels underneath it for defrosting, it will have some moisture as it defrosts. 
    • It will take 24-48 hours to fully defrost. Start before your move out day. Leave door open to quicken the process.
    • Be sure all items are removed, if any resident leaves items in the fridge, all roommates may be charged for removal fees.
  • Turn off lights.
  • Adjust thermostat between 65-75 degrees. 
    • Do not turn off.
    • Check with your RA if you are unsure where to leave your thermostat.
    • New Hall: Adjust the slider to between the middle and bottom of the thermostat. This will be set to AC, but not the lowest setting.
      • Highest setting is heat.
      • Middle setting is off.
      • Lowest setting is cool.
  • Close and lock bedroom doors.
    • When you move out, please ensure the room is clean and your bedroom door is locked before leaving. 
    • Securing your space helps prevent confusion or potential charges related to items left behind by other suitemates.

 

Room Condition & Shared Space Responsibility

If you are the last roommate to move out of a shared room or suite, please ensure the space is clean and secured before leaving.

In shared spaces, it can sometimes be difficult to determine ownership of items left behind. If personal items remain and ownership cannot be determined, cleaning or damage charges may be divided among the residents assigned to that room or suite.

  • Items found in common areas may result in charges split among all assigned suite residents.
  • Items found within a shared bedroom may result in charges split among residents assigned to that bedroom.

If a resident can provide documentation showing the item or damage was not theirs, or if another roommate accepts responsibility, adjustments may be considered. Once charges are finalized, they cannot be reversed without documentation.

 

Damage Billing & Appeals

Damage billing notifications are typically sent via email the week following move-out. Please monitor your NKU email during this time.

If you receive a billing notice and believe it is incorrect, you may submit an appeal by replying directly to the email from your Residence Hall Director.

The most effective appeals include documentation, such as:

  • Move-in photos showing pre-existing damage (with visible date/time information)
  • Photos showing the specific side of the room you occupied
  • Any documentation submitted at move-in regarding prior room conditions.
  • Appeals submitted without supporting documentation may not be approved.

 

Room Inspections

As part of the move-out experience, Housing staff will be conducting room inspections. Housing staff will be opening all drawers, closet/wardrobes, bathrooms, cabinets, etc. in the bedrooms and common spaces to ensure all personal items have been removed from the space. 

If any items are left behind, residents may be assessed fees for property removal for the time and number of items left behind.  

Housing Staff will be taking note of the cleanliness of your residential room space and all common areas. Do your best to sweep, mop, and wipe down all surfaces including inside any drawer space to the best of your ability.   

 

Refrigerators

  • If the fridge is left in the shower, additional fees may be considered.

 

Furniture & Room Setup Requirements

All furniture must remain in the assigned room or suite at all times and must be returned to its original layout prior to move-out.

Furniture may not be removed from the room, relocated to common areas, or exchanged between rooms. This includes, but is not limited to, beds, mattresses, dressers, desks, chairs, trash cans and wardrobes.

If furniture is missing, relocated, or not returned to its original configuration at the time of inspection, residents assigned to the space may be charged for replacement, labor, or reinstallation costs.

To avoid charges, please ensure:

  • All furniture remains within the assigned room or suite
  • No furniture has been moved to lounges, hallways, or other common spaces
  • The room is restored to its original arrangement before departure

Residents are financially responsible for any missing or improperly relocated furniture.

 

Mail Forwarding

Remember to update your mailing address in myNKU as well as any other sites you may have used the on-campus mailing addresses (e.g., Amazon, USPS, UPS, Pharmacies, etc.).

University Housing will not be forwarding any mail or packages received after move-out. When we receive mail from previous residents we will email you, hold the mail or package for two weeks. During this time you can pick it up in the Housing Office in Norse Commons. After two weeks, mail is returned to sender.
